Request for Expressions of Interest

 

an Administrative Assistant, a Finance Assistant, a Partnership Program Assistant, a Procurement Assistant, a Research Support Assistant, and an University-Industry Linkage Assistant

  

The Ministry of Education, Youth and Sport (MoEYS) has received a Credit of US$90 million from the Government of Cambodia towards the cost of the Higher Education Improvement Project (HEIP). The project is expected to be implemented over a 6-year period – starting in July 2018 and ending in June 2024.

 Part of the proceeds will be used for procurement of goods, related services and consulting services. The Institute of Technology of Cambodia (ITC) is now seeking

 -         an Administration Assistant

-         a Finance Assistant

-         a Partnership Program Assistant

-         a Procurement Assistant

-         a Research Support Assistant

-         an University-Industry Linkage Assistant

 The contract is initially for 24 Months between August 2019 and July 2021 and will be yearly renewed.

 

Ø  Administrative Assistant

 ·        Scope of work for Administrative Assistant

 The Administrative Assistance will include, but not be limited to, the following tasks:

 

1.      Keep records of the administrative document related to the project

2.      Prepare and process administrative letters

3.      Arrange local and international trips for project members

4.      Organize meeting and write report

5.      Communicate and liaise with relevant stakeholders of the project

6.      Perform other administrative tasks assigned by project coordinator at ITC

 

·        Qualifications and Experience Required for Administrative Assistant

 

1.      Bachelor degree in administration or other related fields

2.      Advanced knowledge Microsoft Office

3.      Familiar with internet/email

4.      Good English proficiency

5.      Honest and able to work independently

6.      Punctual and well organized


Ø  Finance Assistant

 

·        Scope of work for Finance Assistant

 

The Finance Assistance will include, but not be limited to, the following tasks:

 

1.      Check, process and keep good records of a variety of financial transaction document (bank statement, payment slips, invoices, receipts, etc.)

 

2.      Assist Finance Officer in preparing weekly and monthly financial report to Project Coordinator

 

3.      Work closely with Procurement Officer to ensure smooth financial transaction to suppliers

 

4.      Provide support on financial guideline (eligibility of expense, procedure of expense, evidence of expense etc.) to project team members

 

5.      Communicate and liaise with relevant stakeholders of the project

6.      Perform other tasks assigned by finance officer and project coordinator at ITC

 

·        Qualifications and Experience Required for Finance Assistant

 

1.      Bachelor degree in accounting, finance or other related fields

2.      Advanced knowledge Microsoft Office, Excel and Access particularly.

3.      Familiar with internet/email

4.      Good English proficiency

5.      Honest and able to work independently

6.      Punctual and well organized

 

Ø  Partnership Program Assistant

 

·        Scope of work for Partnership Program Assistant

 

The Partnership Program Assistance will include, but not be limited to, the following tasks:

 

1.      Provide administrative support to faculty members and local/overseas partners in mobility under the partnership program of the project in terms of travel and accommodation

 

2.      Assist Partnership Program Component (PPC) at ITC in tracking of progress activities

 

3.      Work closely with finance officer and procurement officer to ensure smooth mobility of faculty members

 

4.      Assist PPC in organizing events, seminars and training for dispatched professors from partner universities

 

5.      Communicate and liaise with relevant stakeholders of the project

6.      Perform other administration and communication tasks assigned by PPC

 

·        Qualifications and Experience Required for Partnership Program Assistant

 

1.      Bachelor degree in administration, management, international relation or any other related field

 

2.      At least 1 year of experience in a similar position

3.      Proficient in using Microsoft Office

4.      Familiar with internet/email

5.      Good English proficiency

6.      Honest and able to work independently

7.      Punctual and well organized


Ø  Procurement Assistant

 

·        Scope of work for Procurement Assistant

 

The Procurement Assistance will include, but not be limited to, the following tasks:

 

1.      Check, process and keep good records of procurement document related to the project

2.      Assist the Procurement Officer in bidding process

3.      Organize procurement meeting and write report

4.      Work closely with Finance Officer to ensure smooth financial transaction to suppliers

5.      Communicate and liaise with relevant stakeholders of the project

6.      Perform other administrative tasks assigned by Project Coordinator at ITC

 

·        Qualifications and Experience Required for Procurement Assistant

 

1.      Bachelor degree in administration, management, accounting or other related fields

2.      Proficient in using Microsoft Office

3.      Familiar with internet/email

4.      Good English proficiency

5.      Honest and able to work independently

6.      Punctual and well organized

 

Ø  Research Support Assistant

 

·        Scope of work for Research Support Assistant

 

The Research Support Assistance will include, but not be limited to, the following tasks:

 

1.      Assist Research Component (RC) in all implementation process of research project activities (activity planning, implementation, monitoring, evaluation and reporting) in Phnom Penh and other provinces

 

2.      Good English proficiency in translating and interpreting

3.      Arrange travel logistics for organizing the event

 

4.      Coordinate and communicate between Cambodian-side and partner stakeholders to conduct activities smoothly

 

5.      Assist to record and report the research activities

6.      Perform other administration and communication tasks assigned by RC

 

·        Qualifications and Experience Required for Procurement Assistant

 

1.      Possess Bachelor Degree in social science, media, or management

2.      At least 1-year working experience, preferably experiences in academic institution

3.      Experience of working and good communication with multi-stakeholders

4.      Good English proficiency

5.      Proficient in using Microsoft Office, Internet & E-mail

6.      Honest and able to work independently

 

Ø  University-Industry Linkage Assistant

 

·        Scope of work for UIL Assistant

 

The UIL Assistance will include, but not be limited to, the following tasks:

 

1.      Collect and compile the relevant information of the industries for university,

2.      Maintain and update the records of industries working in collaboration with ITC


3.      Assist UIL office in organizing events, seminars and training with private sectors and other partners

 

4.      Assist UIL office in preparing report on activities of collaboration between ITC and industries

5.      Support in the design and preparation of marketing materials of UIL office

6.      Provide administrative support for incubation and training center under UIL office

7.      Communicate and liaise with relevant stakeholders of the project

8.      Perform other administrative tasks assigned by Head of UIL

 

·        Qualifications and Experience Required for UIL Assistant

 

1.      Bachelor degree in business administration, marketing or any other related field

 

2.      At least 1 year of experience in a similar position, preferable in Entrepreneurship and/or Incubation Center

 

3.      Proficient in using Microsoft Office

4.      Familiar with internet/email

5.      Good English proficiency

6.      Honest and able to work independently

7.      Punctual and well organized

8.      Be able to work in the weekend
